Landlord Sample Move-Out Letter

A move-out letter is a letter sent to the tenant to remind him to keep certain things in order. There is yet another type of move-out letter where the tenant informs the landlord of his plan to vacate the unit but that is a different form of letter.

We wish to confirm that you’ll be moving out on ______
___________________. I hope that you have enjoyed your stay here.

We would like to return as much of your security deposit as possible. This move-out letter will describe how the unit should look like after you have left and what procedures we take to return your security deposit.

We certainly hope and expect that you will leave us your home in the same condition as it was when you moved in.

The list below will help us refresh our memories how the apartment unit looked like when you first moved. I am also attaching the checklist you signed on that day for comparison. We shall use the same form when inspecting your home.

To get us started, below is the list of items that need your utmost attention:

  1. Floors
    • Wood floors must be swept clean
    • Carpets, rugs properly vacuumed or shampooed if necessary
    • Floors in the kitchen and bathroom properly cleaned
  2. Clean baseboards, closets, walls, built-in shelves and ceilings
  3. Clean range and oven, kitchen cabinets, counter tops and sinks properly
  4. Take out all foods in the refrigerator and turn it off. Leave the door open
  5. Check shower, sinks, bathtubs and plumbing fixtures
  6. Check window coverings, doors and windows
  7. Check if the yard is properly cleaned, grass trimmed
  8. Check other items listed below

If you have no idea what type of cleaning we expect from you or any other concerns you have, please let me know.

Also, we would like to remind you not to leave any bags of garbage, cleaning equipment or supplies, plants, appliances, furniture, dishes, newspaper, food or any items that you own.

In addition, see to it that you do not forget to:

  1. Disconnect phone and utility services
  2. Cancel newspaper or magazine subscriptions
  3. Inform the post office that you are changing your address

Please give me a call at _____________ if your apartment unit has been thoroughly cleaned to arrange a walk-through inspection.  You also need to return all keys on that day and prepare a forwarding address where I can mail your security deposit.

All security deposits are returned by mail to the address you provided within _______ day after you move out.  In case there are deductions to be made — rent balance, damaged parts or unit not properly cleaned — they will all be indicated in writing.
